If you are approaching your email limit you will be required to carry out deleting of emails especially with large email attachments The maximum mailbox size is 50Gb If you go above this limit you will be unable to send or recieve new emails.
Please delete large attachments by doing the following:-
Old Outlook
In the Outlook client Click File-> Under Mailbox Settings click Tools and Mailbox Cleanup
Click in the box Find items larger than and enter 5000 kilobytes and click find
When the messages are displayed maximise the window and click on the size arrow. Scroll the window to see the largest attechment size
Review any email that you do not legally need and delete or drag and drop into Sharepoint or OneDrive. If in doubt speak with your manager,
Select multiple emails whilst holding the CTRL button. Hold down the shift button, right click and select delete to permanently delete the email(s)
Once deleted click on the Tools button again and Empty Deleted items folder
If your mailbox is still showing as full go to your deleted items folder in Outlook and click on Recover items recently... link at the top and in the Recover Deleted Items box click select all and choose Purge Selected Items.
Please be aware we do backup staff email so IT can access deleted emails if absolutely required.
New Outlook
In the search box at the top select All Folders type in "older than 2 years messagesize:large" If you want large attachments older than 2 years
Click the selection box of the email or hold CTRL (to keep those previously checked) and SHIFT and click on the last email to highlight greater numbers Continue
Once selected press Shift & Delete.
To purge the emails click on Deleted Items
At the top click on Recover items deleted from this folder
Press CTRL & A and then Shift & Delete
